1. Administrative Assistant (Qatari)

Key Roles & Responsibilities

  • Manage, schedule and arrange appointments, visits, meetings and conferences, company/department events, including any related travel, accommodation and/or venue bookings for office personnel, ensuring that all activities are well coordinated and executed smoothly.
  • Support Legal dept with various operational admin taskssuch as data base monitoring;
  • Greet visitors or callers and handle their inquiries, take messages or direct them to the appropriate persons according to their needs.
  • Operate office equipment, such as computers, fax machines, copiers and phone systems and arrange for repairs when equipment malfunctions.  
  • Use computers for various applications, such as database management or word processing: create, maintain, and enter information into databases.
  • Compose, type, and distribute meeting notes, routine correspondence, or reports, such as presentations or expense, statistical, or monthly reports. 
  • Coordinate and compile information from different sources and present it in a relevant format to enable others to understand and use it; conduct searches to find needed information, using such sources as the Internet and various AI tools.
  • Assist the Department personnel in performance of duties, serving as an informational resource to the department with regards to administrative inquiries or problems.
  • Set up and manage paper or electronic filing systems, recording information, updating paperwork, or maintaining documents, such as attendance records, correspondence, or other material.  
  • Maintain records in paper files and / or electronic systems including databases to ensure that correct information is available upon request and maintain proper filing for confidential files and records.
  • Monitor and review admin budget expenditure and invoice payment for the Department, including expenses and stationery; keep records of collections and disbursements, and ensure accounts are balanced.
  • Maintain the supply inventory, including placing orders, arranging delivery, dispensing supplies and handling receipts.
  • Handle all purchase requisitions via Milaha i-poc, liaise with procurement department and timely processing of invoices.
  • Compliance to all Milaha Health & Safety, Security, Environment and Quality policies, Manuals, Procedures, Laws, Regulations and Standards
  • Perform other job-related duties as assigned.
  • Follow specified systems, processes and procedures, implemented in the workplace, to ensure compliance with legal, regulatory, and other requirements/standards

2. Agency Planner

Key Roles & Responsibilities

  • Assist in the supervision of loading and discharging of agency cargo vessels and ensure compliance with company operational policies and standards;
  • Responsible for preparing and reporting of the supervisory reports on loading and discharging activities;
  • Arrange berthing/un-berthing for agency vessels;
  • Monitor the discharging and loading activities of agency vessels;
  • Responsible for agency vessels Port clearance and immigration activities;
  • Coordinate with the Master / Chief officer of the vessels and ensure smooth operations.
  • Ensure timely handling of all documentation formalities such as manifest reporting, vessel clearances, as well as departure reports and International Ship and Port Facility Security (ISPS) requirements;
  • Build and maintain effective working relationships with port authorities, customs, immigration and all other official parties concerned;
  • Maintain healthy relationship with the customers & ensure continuous support.
  • Perform other job-related duties as assigned.

3. Internship

Job Description

4. Trainee - Shipyard (Qatari)

Key Roles & Responsibilities

  • Learning Activities:
  • Observing and learning from experienced staff members.
  • Gaining knowledge of company policies and processes.
  • Completing successfully all necessary assessments, as guided and required. 
  • Fulfilling any requirements and meeting goals set out at the start of the training.
  • Maintaining communication with supervisors and attending periodic evaluations. 
  • Team Support Activities:
  • Participating in meetings, workshops, and other learning opportunities.
  • Taking detailed notes and liaising with Managers, Supervisors, and other Senior staff.
  • Researching and assisting in identifying areas for service or process improvements.

6. Clerk - Customs Clearance Services

Key Roles & Responsibilities

  • Prepare Customs Documentation based on Instructions from customer and input information into Customs online system (Emirsal).
  • Liaise with customers for following up on Exit Certificates, any other documents to be received.
  • Liaise with Shipping Lines for collecting Delivery Order.
  • Process Documents and other requests (Certificate of Origin etc.)  on Customs Portal or Manually as required ensuring compliance with customs processes.
  • Ensure all Customs Documentation Jobs are rounded up and closed (Exit Certificates received and forwarded to Customs, Outstanding  payments and dues recovered, all jobs billed appropriately, re-submission of backdated exit documents for clearing the same).
  • Prepare Job Cards for jobs executed and submit the same to Accountant for Invoicing.
  • Arrange for Transport  if required (in consultation with Supervisor, Freight).
  • Coordinate with Messengers for collection and delivery of Customs and related documents from Shipping Lines, Customer's office, etc.
  • Perform other job-related duties as assigned.
