1. Hard Service Coordinator

Key Responsibilities:

  • Coordinate and supervise preventive, predictive, and corrective maintenance of MEP systems, including HVAC, electrical, and plumbing.
  • Ensure compliance with Qatar standards, Kahramaa regulations, and company safety policies.
  • Plan and allocate resources for scheduled PPM (Planned Preventive Maintenance) and emergency maintenance works.
  • Support technical teams during installation, testing, commissioning, and inspections of facility systems.
  • Coordinate with subcontractors, vendors, and consultants to ensure timely completion of service requests and project deliverables.
  • Prepare and review maintenance reports, inspection logs, and performance summaries for management and client submission.
  • Monitor and analyze system performance to identify energy-saving and efficiency improvement opportunities.
  • Ensure all work permits (hot work, cold work, confined space) are properly issued and tracked.
  • Manage day-to-day coordination between maintenance technicians and site supervisors to ensure adherence to schedules and safety requirements.
  • Maintain accurate documentation, including asset registers, service schedules, material requests, and contractor evaluations.
  • Attend coordination meetings with clients and internal departments to review performance, schedules, and ongoing issues.
  • Collaborate with project engineers and FM management for procurement of spare parts, materials, and equipment.
  • Support the development and implementation of hard services procedures, checklists, and maintenance standards.

2. Procurement Officer

Key Responsibilities:

  • Manage the full procurement cycle from requisition to delivery for facility management and maintenance projects.
  • Identify, evaluate, and negotiate with suppliers to obtain the best value for goods and services.
  • Review and analyze purchase requisitions to ensure accuracy, completeness, and alignment with operational requirements.
  • Prepare and issue RFQs, RFPs, and purchase orders in compliance with company policies.
  • Develop and maintain strong vendor relationships and ensure supplier performance meets company standards.
  • Monitor and track purchase orders to ensure on-time delivery and resolve any issues related to delays or discrepancies.
  • Ensure compliance with company procurement procedures, ethical standards, and applicable legal requirements.
  • Coordinate with technical, finance, and operations teams for specifications, approvals, and budget alignment.
  • Conduct market research to identify new suppliers, cost-saving opportunities, and material alternatives.
  • Assist in the development and maintenance of the approved vendor list (AVL).
  • Review supplier invoices and coordinate with the finance department for timely payments.
  • Support internal and external audits related to procurement activities.
  • Develop, implement, and maintain procurement policies and procedures to improve efficiency and ensure compliance with organizational standards.
  • Contribute to continuous improvement initiatives and support ISO and compliance documentation related to procurement operations.
  • Prepare periodic procurement reports, cost analysis, and performance metrics for management review.

3. Cost Controller Engineer (Facility Management)

Key Responsibilities:

  • Develop and maintain cost control systems, procedures, and reports for FM operations.
  • Monitor and track project and service expenditures against budgets and forecasts.
  • Coordinate with engineering, procurement, and operations teams to gather cost-related data.
  • Evaluate and validate invoices, work orders, change requests, and claims.
  • Prepare regular cost reports, variance analysis, and forecasting updates.
  • Assist in the preparation of annual budgets, service-level agreements (SLAs), and contract reviews.
  • Provide cost data and analysis to support strategic planning and performance improvement initiatives.
  • Monitor key performance indicators (KPIs) related to cost, efficiency, and service delivery.
  • Ensure compliance with contractual obligations and financial regulations.
  • Support tendering and procurement activities by providing cost estimates and benchmarking data.
